02What information we collect
We collect the following information directly from you when you donate, enter the draw, or contact us:
- Identification — your full name and surname
- Contact details — your email address and mobile number
- Donation details — the amount you donated and the date, plus the Paystack transaction reference
- Draw entry preference — whether you opted in to the supporter draw
- Anonymity preference — whether you chose to be listed publicly or anonymously
- Optional message — any message you chose to leave for the team
For winners of the supporter draw only, we will additionally collect your South African ID number at the point of prize hand-over, in order to verify identity and comply with prize fulfilment requirements.
We do not collect or store your payment card details. All card payments are processed directly by Paystack and we receive only a transaction reference and confirmation of payment.
03Why we collect it
We collect your personal information for the following purposes:
- To process your donation and send you a payment receipt
- To register you in the supporter draw if you opted in, and to contact you if you win
- To send you campaign updates — including weekly progress emails, draw reminders, the final tournament report, and a thank-you message after the tournament
- To include you on the donor wall on the campaign website if you did not opt for anonymity
- To respond to your enquiries if you contact us
- To comply with our legal and accounting obligations under South African law
We will not use your information for any other purpose without first obtaining your explicit consent.
04Who we share it with
We share your personal information only with the following parties, and only to the extent necessary:
- Paystack — to process your card payment. Paystack's own privacy policy governs their handling of payment data.
- GoHighLevel — our customer relationship and email platform, which stores contact information and processes transactional emails.
- The team management committee of the SA U15 Girls Indoor Cricket squad — we share aggregated donation figures and anonymised supporter lists for the purposes of reporting and acknowledgement. Individual donor identities are not shared unless you have given specific consent or opted in to the public donor wall.
- Holistic Life Institute — for draw winner confirmation only. HLI is the sponsor of the R5,000 fuel voucher and receives the winner's name for prize hand-over purposes.
- Our auditors and the South African Revenue Service — where required by law for financial reporting purposes.
We do not sell or rent your personal information to third parties, and we do not use it for any marketing purposes outside of this campaign.
05How long we keep it
We retain your personal information only for as long as necessary to fulfil the purposes for which it was collected, plus any additional period required by law.
- Donation records — retained for a minimum of five years to comply with the Companies Act and SARS record-keeping requirements.
- Contact details for campaign communications — retained until the campaign concludes (end of October 2026), after which they will be deleted unless you have explicitly opted in to ongoing communications.
- Draw entry records — retained for 12 months after the draw date for verification and audit purposes, then deleted.
06How we protect it
We take the security of your personal information seriously. Our safeguards include:
- All data is stored on servers that comply with industry-standard security practices.
- Payment processing is delegated to Paystack, which is PCI-DSS compliant. We do not see or store your card details at any point.
- Access to donor information is restricted to authorised personnel directly involved in administering the campaign.
- We use encrypted connections (HTTPS) for all data transmission to and from the campaign website.
No system is completely immune to security risk. In the unlikely event of a data breach affecting your personal information, we will notify you and the Information Regulator within the timeframes required by POPIA.
